EventX LS Terms of use

EventX LS organisers list is composed by the organisations reported at Contacts page of this website and on the EventX LS website, hereinafter referred to as "EventX LS Org".

By registering for EventX Life Sciences 2024 you accept, besides B2match's terms of service and privacy policy, also the following terms, conditions and additional privacy policy provisions.

Terms of use

• Your profile will only be published once you fulfill all the registration steps and requirements (see How to join section)
• If an unforeseen circumstance comes up and you cannot attend a meeting you must first cancel your meeting  always through the platform, which will update the agenda alerting the involved participants minimising inconveniences to them. You have also to notify the organisers about your inability to attend.
• EventX LS Org have the right to give your personal contact details to the participants with whom you have booked a meeting, before, during or after the event.
• After the event, participants have to fill in the online feedback reports regading the meetings evaluation and evolution, communicate resulting cooperation agreements and info about meetings arranged, thanks to the registration to EventX LS, with other participants in the days before, during or after the event, not included in their online agenda.
• Participation to the event entails also the authorisation that your images and sounds may be recorded, reproduced and published in event or organizers website or other media (in any available format and storage medium is possible) for promotion of the event and its possible future editions, to share knowledge or report organisers activities.
• In that regard, 
  • you waive the right to approve the final product resulting from audio/video recordings;
  • you release, acquit and forever discharge EventX LS Org, from any and all claims, demands, rights, promises, damages and liabilities arising out of or in connection with the use or distribution of said photos, audio and/or video recordings (including streaming, on demand and downloadable audio and podcasts applications), published information of the company, including but not limited to any claims for invasion of privacy, appropriation of likeness or defamation;
  • you renounce to any compensation for the use, reproduction and diffusion of the photos, images, audio and video recordings cited above;
  • it is prohibited the use by EventX LS Org of the photos, audio and/or video recordings, published information of you or your company in contexts which prejudice personal dignity and decorum.

Additional provisions to b2match privacy policy

EventX LS 2024 have the goal to create and exploit potential opportunities for business and research collaborations, get known, find potential partners to the registered participants, before, during and after the event. In addition to b2match privacy policy, registering and participating in EventX LS 2024 you declare that you read and agree also to the privacy policy reported in the following regarding the use and processing of the personal data provided to EventX LS Org.
Collected and processed participants personal data are those provided in the participant profile (name, e-mail, phone number, picture etc.) and will be used for the purpose outlined above, in particular for the following:

• EventX LS Org will use the data to manage registrations for the event, to inform registered participants of any updates relating to the event (e.g. session opening, changes in sessions, meetings, initiatives connected to event), to promote specific sessions or initiative connected to the event, e.g. workshops, conference, boootcamp, short presentations, webinars in the time frame from opening of matchmaking platform to the closure of EventX LS;
• EventX LS Org might further promote your EventX LS 2024 public profile within their networks and contact you to verify your interest in exploring possible collaborations with interested parties. In that regard, no contact details are shared without your consent.
  
• EventX LS Org may contact you in the future to be invited to the next editions of EventX LS or events in the sector organized by one of the EventX LS Org.
  
• Data are shared only among EventX LS Org, stored and processed using reasonable organisational, technical and administrative measures to protect them. As EventX LS is realized within the activities of the project THE – Tuscany Health Ecosystem, data will be accessible also to THE project partners managing reporting of the project (THE Scarl and University of Florence as spoke 5 manager) and the Italian Ministry of University and Research (MUR), for the sole purpose of THE project reporting (DD MUR no.3277 30.12.21, DD MUR no.1050 23.06.22, Official Register no.7554, M4C2 Reporting Guidelines for Investment 1.5) for verification of actual implementation and participation in the initiatives.
• They will be retained for collection of feedbacks, agreements and event performances monitoring as long as the EventX LS 2024 websites is kept alive.
• Data is collected in compliance with the principles of relevance, integrity, lawfulness, correctness and transparency and not being excessive in relation to the purposes for which they are collected and processed. The data processing is carried out using computers and/or IT enabled tools, following organizational procedures and modes strictly related to the purposes indicated, in such a way as to ensure the security and protection of the confidentiality of the person concerned. Specific security measures are observed to prevent the loss of data, unlawful or incorrect use and unauthorized access in full compliance with art.32 of GDPR.
  The collected data will be stored and processed for as long as required by the purpose they have been collected and may be retained for longer due to applicable legal obligation or based on the participant consent.
  
• The provision of your personal data is mandatory as necessary for the participation in the activities of EventX LS 2024. Refusal to provide the data implies the exclusion from the participation in the event. The legal basis for the data processing are the necessity to carry out the event activities and the participant consent with reference to authorization for the use of the aforementioned personal data. The consent is expressed through the compilation of the registration form and the checking the relevant box. Your choice can be reviewed in your profile under Organizer questions.
  
• Under EU Data Protection Regulation (GDPR) 2016/679, you have the right to be informed, to access, to rectify, to ask for elimination, to object or limit processing and to portability regarding your personal data. If you have any concerns or questions about their use of your personal data, please contact your EEN support office (see your profile) or EventX LS 2024 staff (see Contacts page and EventX LS website).
• EventX LS Org may modify these terms from time to time up to its sole discretion. You will be notified about an upcoming change prior to its effective date by e-mail.
